Administration of Hampshire Hockey Junior Competitions

The Hampshire Hockey Association (HHA – “the Association”) is pleased to invite tenders to provide administrative support for Hampshire Junior Competitions (Clubs and Schools). A contract will be awarded to a services company providing an individual or individuals capable of fulfilling the requirements listed within the role description below. The company will be responsible for the direct employment of said individuals and any legal requirements stemming from it. The company will also be responsible for any expenses incurred by its employee save for any duties incurred outside the counties of Hampshire and the Isle of Wight. The contract will be met from the current budget for administration of junior competitions (ca. £10,000 per annum).
The agreement will be terminable by either party on three month's notice.
Those wishing to apply should provide Curriculum Vitae, a covering letter demonstrating a working knowledge of Junior hockey within Hampshire, but not limited to it and evidence of a successful current (or recent past) hockey related Disclosure and Barring Service (DBS) check or previous Criminal Records Bureau (CRB) check.
Tenders must be provided to the HHA Secretary (secretary@hampshireha.co.uk) by 31st March 2017 and a shortlist of tenderers will be requested to attend interview with officers of Association shortly thereafter. The contract will commence following the HHA Annual General Meeting (AGM) on June 19th 2017 and will be renewable by the officers of the Association annually at the date of each subsequent AGM, notwithstanding any notice to terminate given by either party in the interim.
Description of Administrative Services Required to Support Hampshire Junior Competitions
The Hampshire Hockey Association is responsible for organising and facilitating leagues, cup competitions and one-day cup, trophy and festival tournaments for all junior age groups from U8 to U19 at club and school level.
The Administrator (Junior Competitions - Schools & Clubs) deals with all aspects of this such as but not limited to:
• Inviting entries to the various competitions and leagues (using systems in place on the HHA website), creating the junior club league tables and cup draws, booking the pitches for the school competitions and In2Hockey events (both club & School) and attending/running these competitions (as listed below).
• Dealing with all emails and communications from the schools & clubs ensuring prompt replies and timely sending out of information
• Managing the day-to-day requirements that come with running the leagues and cup competitions such as weekly checking of results, assisting clubs with postponed or cancelled games, setting new fixture dates/times/venues on the website and act as go-between when situations arise that are covered by the rules.
• Monitoring the leagues and Cup competitions to ensure fixtures are being played in good time and by the ‘play-by’ dates.
• Maintaining good relations with the Junior Prime Contacts of the clubs, always remembering that these are all volunteers, striking the right balance between helping the clubs to manage their junior teams and enforcing the rules and protocols as agreed.
• Attending the annual Junior Prime Contacts meetings (one for clubs, one for schools)
• Attending periodic meetings of the Junior Competitions Committee
• Attending bi-monthly county executive meetings if required
Excellent communication and IT skills are a requirement as is the necessity to learn the use of the HHA website’s core administration systems required for the role.
Access to own car, computer and mobile device/smart phone is essential.
It is anticipated that the role will take up the equivalent of 3 days per week but to expect that the workload will not be spread evenly across the year due to the seasonal nature of the sport.

Please note: School hockey for girls is generally pre-Christmas and boys is post-Christmas
